Bulk Employees Onboarding and Offboarding

Learn how to onboard and offboard employees in bulk via the Alleo portal, as well as update employee profile data.

You can use the Alleo portal to manage employees data in bulk. This includes:

  • Onboarding/offboarding

  • Updating details like birthdays, work anniversaries, company groups, and custom fields.

Access bulk User Onboarding and Offboarding

To begin, log into the Alleo Portal and follow these steps:

  1. Go to Data Management

  2. Select Imports

  3. Choose User Onboarding and Offboarding

Do a Bulk Import

1. Download and fill in the template

Click the Download Template button to get the correct format for your data upload.

When completing the template, do not modify the column headers - these are required for automatic field mapping in the next step.

The following fields are accepted:

  • Required format: YYYY-MM-DD

  • Must be today or a future date. If left empty, the employee will be onboarded as of today.

  • If the the onboarding date is in the future, the account will be active, but the employee can only log in from the onboarding date.

  • Once an employee is onboarded, the date cannot be changed via the portal.

  • If you need to adjust the onboarding date to a future date after submission, please contact admin-support@alleo.nl.

Offboarding Date

Optional

  • Required format: YYYY-MM-DD

  • Must be today or a future date. If left empty, the employee will be onboarded as of today.

  • If the the onboarding date is in the future, the account will be active, but the employee can only log in from the onboarding date.

  • Once an employee is onboarded, the date cannot be changed via the portal.

  • If you need to adjust the onboarding date to a future date after submission, please contact admin-support@alleo.nl.

Birthday

Optional

  • Required format: YYYY-MM-DD

Work Anniversary

Optional

  • Required format: YYYY-MM-DD

Language

Optional

  • Sets the language in Alleo for the employee, options are:

    • "en" - English

    • "nl" - Dutch

    • "de" - German

  • If this field is not provided, the default language for the Company is

Company Group

Optional

  • Make sure the value matches an existing company group already set up in Alleo

Custom fields

Optional

  • Custom fields can be added by following the following naming convention: "custom_field_name" - for example: "custom_employee_id"

  • In the reporting, "alleo_" is added to each custom field uploaded - for example:
    "alleo_custom_employee_id"

  • Custom fields are not mapped automatically. Make sure to manually map them during the preview step.

2. Upload and preview the data

Once the file is filled in, upload it. Alleo will automatically map the fields—please review the preview tab to confirm the data is mapped correctly.

3. Dry Run Check

Before syncing the data, download the Dry Run Report. This file shows exactly what will be uploaded once you proceed. Carefully review it to ensure everything looks correct.

In the dry run, the first column will indicate the action type for each entry:

  • Onboard

    • The employee will be onboarded on the specified date or today if the date is set to a past date.

    • Any grants set to be assigned upon onboarding will be added on that date. These grants can be reviewed by scrolling to the right in the dry run.

    • Monthly budgets are not prorated—the employee will receive the full monthly budget regardless of their onboarding date.

  • Update

    • Any new or updated information (e.g., birthday, work anniversary, custom fields) will be applied to the employee’s profile.

    • Email addresses cannot be updated via the bulk upload—this must be done manually via the Employee Overview page.

4. Sync the Data and Check the Status

  1. Confirm the Sync:

    • Once you’ve checked and confirmed the data looks correct, click to confirm the sync. You will be redirected to the tasks overview.

  2. Tasks overview and status:

Dry run column indicates whether the task is:

Data sync OR Dry run

Once the data sync is completed successfully, the task will show as Completed.
